What Paperwork Should Your Waste Contractor Provide?

The collection is finished and the stockroom is clear. What should you keep in your files? For business waste, an invoice, a transfer note and a destruction certificate have different jobs. Knowing the difference makes it easier to spot missing records and ask your contractor the right questions.

Start with the waste movement record

For non-hazardous waste leaving a business in England or Wales, a waste transfer note—or another document containing the same required information—records the handover. It should describe the waste accurately and identify the relevant parties and transfer.

A contractor may prepare the form, but you still need to check your information and complete the relevant sections. “Office waste” is not a helpful description for a load of computers, printer cartridges and batteries. Do not sign a blank form or accept a description that does not match what was collected.

An invoice can serve as the transfer record only if it contains all the required information. A receipt showing a price and payment date is not enough on its own. See the GOV.UK waste transfer note guidance.

Do regular collections need a new note every time?

A qualifying season ticket can cover repeat non-hazardous transfers for up to a year, with a separate record of each collection. It is useful for an established arrangement, but does not automatically cover new waste types or different parties. Keep non-hazardous transfer records for at least two years; season-ticket records need to be retained for two years after the last transfer they cover.

What paperwork comes with hazardous waste?

Hazardous waste in England normally travels with a consignment note. This follows the waste movement through the producer or holder, carrier and receiving site. Ask which copy is yours and how the receiving site’s consignee return will reach you.

England’s hazardous waste producers and holders must keep the required register, including consignment notes and consignee returns, for three years. The official producer guidance explains these records. Paint, oil, chemicals and electrical waste are not all classified the same way: the paperwork needs to follow the actual classification.

Scotland calls hazardous waste “special waste” and uses Scottish procedures. Wales and Northern Ireland have their own requirements too. An England template is not automatically the right form for every UK collection or cross-border movement.

Is a Certificate of Destruction enough?

No. A destruction certificate records a destruction service; it does not replace the waste transfer note or hazardous waste consignment note required for the movement.

Quality Waste includes a Certificate of Destruction as standard with confidential paper, product and stock destruction services. For IT recycling and disposal, data-bearing media are shredded as standard and a Certificate of Data Destruction is included.

Detailed asset lists, stock reconciliation, photographs or witnessed destruction are separate from the basic included certificate. Let us know if your business needs those additional records.

A quick check before filing the documents

  • Does the waste description match the collection?
  • Are the waste code, amount and containment details accurate?
  • Are the relevant businesses, dates and required signatures recorded?
  • Do you have your copy and any required follow-up return?
  • If you booked destruction, have you kept the included certificate separately?

If something is missing, contact the contractor promptly and ask for the correct record or an explanation. Do not change a signed document yourself to make it fit. Keep an accessible copy so a colleague can find it when needed.
